The professional staff at the Ralph Engelstad Arena - Imperial Room is dedicated to taking care of each detail so you can enjoy every moment of your special day. We will help you customize your reception to provide you a day of lasting memories.

We also have rooms available for gift opening, showers, rehearsal dinners, ceremonies, wedding receptions, and anything else you can come up with.

In order to make your big day a success, please follow our reservation procedures so the important details do not get lost in the shuffle. Let's get started!

Reservation Procedure

1. Contact a sales professional at the Ralph Engelstad Arena to secure your date! A rental contract will be completed before a reservation is confirmed. Please call 218.681.2183 to speak to our staff.
2. Reservation date is secured by a signed rental contract and deposit paid. Tentative reservations may be taken over the phone and space will be held 7 days from the date of the request.
3. Once the rental contract is secured, the holder cannot assign, transfer, nor sublet to another party the use of the facility they reserved.

Rental Charges

• Wedding Reception - Imperial Room $1,400
• Main Arena Floor REA/HOMCC $2,400
• Main Arena Floor HOMCC $1,600
• Dakota Room Add - On (Kids room, Bride Room, Gift Room, etc..) $250
• Additional Staging/Additional 14 Head Table Service $50.00
• Dance Floor Relocation $50.00
• Damage Deposit $500

***Rental rates include the room, tables, chairs, use of catering kitchen by a licensed food provider and staging for a head table of 14 people. There is an additional fee for groups of more than 14 for head table service. Fees cover the use of reserved facilities according to the hours indicated on the rental contract

Cancellation/Refunds

To reserve the room, a deposit of 50% is due upon the signing of the rental contract. The remaining 50% is due 30 days prior to the start of the event. A full refund will be granted if the facility is notified 1 year prior to the scheduled event. If the facility is notified 6 to 12 months prior to scheduled event 50% of your down payment will be returned.

The signatory of the rental agreement must give a written notice to the building.
 

Damage Deposit

• Rental requires a damage deposit of $500.00 to be paid the week of the event. No interest will be paid on the damage deposit.
• Any amount withheld from the damage deposit will be commensurate with the value of damage caused by the rental party in the determination of the Building Staff.
• Building Staff will inspect the rental area immediately upon conclusion of the rental event for any damages.
• Damage deposit will be returned to the rental party one week after the date stated on the rental contract if there is no withholding for damages.

At the Ralph Engelstad - Imperial Room, we are proud to offer you elegant and professional accommodations for your wedding and invite you to further personalize your surroundings in order to enhance your event’s atmosphere.

• You may schedule your arrival for decorating as early as 10:00 am. on the day of your wedding.
• Decorations must be out of the room no later than 2:00 am or you may incur additional fees. Decorations left behind will not be saved.
• A Ralph Engelstad Arena staff member will be on site to answer any questions you may have about the facility. However, due to additional facility responsibilities, the Ralph Engelstad Arena staff does not assist you with decorating.
• Please notify your sales associate if you have hired a decorator.
• We ask that you schedule your arrival for decorating with your sales professional so that staff can be scheduled appropriately.

Decorating Guidelines & Additional Information

Please adhere to the following guidelines when decorating your room:

• Glitter and Confetti are not allowed.
• Nails, pins, and staples are not allowed - damages may result in additional charges. Non-residue tape or mat tape are acceptable alternatives.
• Candles may be used if flame is within glass container. By order of the Fire Marshall, open flame candles are not permitted.
• Chocolate Fountains and Punch Fountains are not permitted.
• Helium balloons are not allowed in any part of the Ralph Engelstad Arena or Huck Olson Memorial Civic Center without a previously signed waiver. You will be responsible for any charges that are incurred for retrieval and cleanup of the balloons.
• Balloons may only be used in the Imperial Room.
• Smoke machines are banned from the premises of the Ralph Engelstad Arena. Please verify this with your DJ.

The Ralph Engelstad Arena can provide a variety of bar services to compliment your event. Options include cash or hosted bar service offering premium liquor and beer. Complimentary drink tickets can be provided at your request and paid for prior to the event.
• All Alcohol must be purchased through the Ralph Engelstad Arena.
• Our current bar setup in the Imperial Room can accommodate 350 guests.

If you would like to request an additional bar for your wedding or meeting, please inquire via our Food & Beverage Manager or your Event Manager for an additional cost.

Event concludes no later than 12:00 am. Bars will close at 12:00 am.

• Alcohol consumption is restricted to inside the Ralph Engelstad Arena only. The Thief River Falls Police Department routinely patrols the Ralph Engelstad Arena grounds during both arena and events and will issue citations or make arrests at their discretion.
